New members are to be created and previous members must be deleted. And then subscription fees should be sent out and you need to follow up in case they are not paid. Sportyfriends saves you a lot of this work. Members can sign up for a membership and cancel it themselves from their personal user account. And you can set up memberships to renew automatically where the membership fee is deducted from the user’s payment card online. Membership and Subscription Types
Sportyfriends delivers great flexibility in the way you set up memberships and subscriptions. You can quickly create different memberships for your users, such as senior, junior and elite. And you can also offer family memberships (including parent/child accounts), corporate memberships and passive memberships. If you need to, you can also add a free trial period for potential new members.
You decide whether a membership or subscription is set up to run from a fixed start date to a fixed end date, regardless of the time of purchase. Or whether the membership should start from the exact day it is purchased and then for x number of months. The duration of a membership can be set from a single week and up to running on a monthly, quarterly, half-yearly or yearly basis.
Automatic Renewals and Email Confirmations
The price of each membership can be varied based on your preferences, and as an admin you have the option to also add a participation fee. Payment can either be made online using the member’s payment card. Or the association can send out invoices manually.
When paying online, you have the great advantage that as admin you can set the individual membership to be automatically renewed when it expires. In this situation, the member is notified by email of the upcoming payment a few days in advance.

If your club uses online payments, new and existing members can make payments themselves directly from your club’s website. Simply find your desired membership and make your purchase as you would in any other webshop.
If a member cancels the subscription before it reaches the expiry date, you choose whether or not the payment gets refunded. If the refund option is turned on, you can select a deadline for when the membership must be cancelled in order to allow the customer to get the money back.
Self Service for Members Changing Subscription
Sportyfriends saves the volunteers and staff within your club the time-consuming task of dealing with members who want to switch from one membership to another. This process is often handled manually, but with Sportyfriends your members can do this by themselves with just 2-3 clicks from their personal profile. Self-service for members also helps them to avoid emailing back and forth with the association, and they can use their new membership as soon as possible. Any difference in price between memberships is automatically calculated and taken into account.
As an administrator, you still have the possibility to move a user from one membership to another membership.
Membership Rights
With our flexible membership management software, you have various customisation options for your different memberships. For example, in many sports clubs it’s essential to set how many active bookings a member can have at the same time. Only after an active booking has passed, a new booking can be made. In addition, you can also choose how far into the future a member is allowed to do a booking.
It is also possible to set up a membership to give the user access to specific events in the club. An example of this could be that the membership “Juniors Elite” gives the user access to sign up for the activity “Juniors Elite Training Lesson”.
Furthermore, you can specify that a membership allows the user to register for x number of teams or activities in the club. Thus, one type of membership may give access to 1 weekly team training session, while another membership allows the user to register for 2 weekly team training sessions.

If you want to provide more detailed information about a membership, you can add this information on the “Read more” page of the membership. Here you can offer your website’s visitors more detailed information about the membership. For example, the club’s terms for joining and leaving, if there is a cancellation period and the membership contains specific booking rights. This information is essential to many people considering buying the membership.
Efficient Member Management
The annual reporting of members data to the authorities is a major task for many sports associations. With Sportyfriends you can easily export the relevant data to an Excel file. And you can also choose to extract data only for users who have been a member of the club for at least 3 months, as these are the guidelines for when a user counts as a member in a given year.
In addition, we help your club to update your members database. You can set up the system to automatically remove leaving members, so that after their cancellation they are removed from your club’s membership list after e.g. 3 months, 1 year or 2 years.
